Make a one-off booking

We have notice periods for booking our venues. Contact our bookings team on 9205 5577 for more information.

  1. Login to our booking system* or register as a new hirer.

    If you are from a registered not-for-profit organisation, incorporated group or charity you need to contact us to be verified before booking.

  2. Under 'Make a new booking' select 'Book a venue'. To book multiple rooms, select 'Make a multiple booking'.
  3. Use the booking category 'Council venue'.
  4. Select your booking type, and search for available venues by date, capacity, facilities, location or day. If you don't see your booking type, select 'Other' and add detail in the booking notes.

    When you find a suitable venue click 'select' and then 'continue' at the bottom of the page.
    Costs, opening times, availability for that day and information for each venue are available on this screen.

  5. Choose an appropriate event start and end time and enter a name for your event under 'About event'.
  6. Select the person or organisation you're making the booking for, check your contact details are accurate and click 'continue'.
  7. Answer all relevant additional questions.
  8. Review the booking summary, read and accept our conditions of hire [ PDF, 521.11 KB] and then click 'Complete Booking'.
  9. You will see a success message and receive an automated email from us acknowledging your request.
  10. We will send a payment request via email. Please pay by the nominated deadline to proceed with your booking.

*The booking system refreshes every 20 minutes. If you don't complete your booking in this time, you may need to re-enter the request.

Make a recurring booking

Steps 1 and 2: same as one-off booking process.

  1. Use the booking category 'Recurring booking'
  2. Select your recurrence pattern (daily, weekly, monthly). If you choose dates that don't fit a regular pattern, click 'Selected dates' and choose them from the calendar.
  3. Enter your booking period - start and end dates.
  4. Select preferred dates - e.g. Sunday for weekly, first Monday for monthly

Remaining steps: same as steps 5 to 11 of one-off booking process.

Cancel a booking

  1. Select 'View your bookings'.
  2. Click on the booking and select 'Cancel'.
  3. Provide a reason for your cancellation.

Pay for a booking

By credit card

  1. Login to our booking system and select 'Pay for your bookings'. Your bookings will appear.
  2. Select the booking(s) you want to pay for and click 'Pay for bookings'
  3. Click 'Cardholder present and 'Pay now' (to pay a bond later, click 'Pay later' on the hire fee line.
  4. Enter your credit card details and select 'Pay'.
  5. We will acknowledge the payment and send a receipt via email.

By BPAY

  1. Find the biller code and reference number on the invoice.
  2. Make a payment from your cheque, savings, debit card, credit card, or transaction account.
  3. We will acknowledge the payment once it has cleared* and send a receipt via email. If you haven't received a receipt, please email us proof of payment from your bank.

*Payments generally clear with 2 business days.

In person

  1. Bring your invoice to Richmond Town Hall or Collingwood Town Hall between 9am and 4:30pm Monday to Friday.
  2. Pay the invoice.
  3. We will acknowledge the payment with an informal receipt and send an email receipt within 2 business days.

Cheque payments

Make cheques payable to the City of Yarra for the exact amount as your invoice.

Cash payments

Make cash payments in the exact amount as your invoice - we can't always provide change.

Register on our system

  1. Go to our booking system and select 'Create an account'.
  2. Set up your login and password* and add your contact information.
  3. You will receive an automated email and a green success message.

*Your password must have at least:

  • 8 characters
  • one numeric character
  • one lowercase character
  • one uppercase character

If you cannot see a booking, it may be because:

  • you have two user accounts
  • the booking is not under your name.

Not-for-profit rates are applicable for registered not-for-profit organisations and charities. To find out if you're eligible, please call 9205 5555.

We will give you an automated quote when you make an online booking. This may include optional costs such as bonds and insurance. We will review these before requesting payment.

If you think your fees are incorrect, contact us and we'll explain the costs.

If you need public liability insurance, you can upload a certificate of currency when making your booking. If you don't have one at that time, email us to advise it's on the way. We'll wait until we receive it before confirming your booking.
